Completing Form I-9

All U.S. employers are legally required to complete Form I-9 for every new hire, regardless of citizenship or immigration status. This form verifies that the employee is legally authorized to work in the United States. This is a federal requirement enforced by the U.S. Citizenship and Immigration Services (USCIS). The I-9 form must be completed within three business days of the employee’s start date.

The Process

Three tasks will be sent to you regarding completing the I-9. Please complete each task related to the I-9 in Workday.

  1. Complete Form I-9
  2. Complete Remote Form I-9 – Step I
  3. Complete Remote Form I-9 – Step II

Completing Section 1: Employee Information and Attestation

As the new hire, you must complete Section 1 of the Form I-9. This job aid will guide you through this process. Even though the form does not indicate that the social number is a required field. It is essential to enter your social security number. We are an e-verify employer, and the Social Security Number is needed for verification.

I-9 Meeting

To ensure a smooth onboarding process, all new hires in the U.S. must participate in an I-9 meeting. During this mandatory meeting, either in person or via video conference, an authorized representative will verify your identity and employment eligibility.

Selecting an Authorized Representative

  • Select the I-9 Partner: Select the I-9 Partner listed as your Authorized Representative in the drop-down menu during Form I-9 completion. In this case, book an appointment with Steve Wicker (swicker@umd.edu, 301.405.2137) no later than 3 business days after your start date. The meeting will take place over Google Meet.

Completing Section 2: I-9 Partner will Review and Verify Information

During the I-9 meeting, the I-9 Partner will verify your identity and employment eligibility. To expedite this process, please gather your original documents beforehand. These include a U.S. passport, driver’s license, birth certificate, or social security card.
